What a sales enablement migration plan covers
A sales enablement migration plan is the document a team runs a platform switch from. It names the platform you are leaving, the one you are moving to, the date the old contract ends and the date reps start working in the new system, and it lists every piece of work between those two dates with an owner.
Most of the work is not moving files. It is deciding what deserves to move. A library that has grown for years usually holds duplicates, outdated decks and assets nobody has opened in a year, and a migration is the cheapest moment to retire them. The plan therefore starts with an inventory and a decision for every content group: migrate as it is, rewrite before it moves, or archive.
The second part is structure. Folders, tags, audiences, permissions, expiry dates and owners are what make a library usable, and every platform names them differently. The plan maps each source structure to its target and says how you will check it after the move, so reps find the same pitch deck in the same place on day one.
The last part is people and timing: which integrations are rebuilt and tested, how each group of users is trained, how long the two platforms run side by side, and when the old one is switched off. Working back from the contract end date, with the notice period in it, keeps the switch from turning into an unplanned renewal.
When to use a migration plan
- You have decided to replace your sales enablement platform and need to plan the move before the current contract ends.
- Your vendor has merged, changed its packaging or announced a product change, and you are comparing the cost of staying with the cost of moving.
- You are consolidating several content tools, such as a shared drive, a wiki and an enablement platform, into one system.
- You are moving training, certification or coaching records out of an LMS and into the same platform as your content.
- You are running a pilot of a new platform and need to know what a full migration would involve before you commit.
Migrate, rewrite or archive: how to decide
Make one decision for every content group in the inventory. The test is whether a rep would use the asset with a buyer next quarter, and whether it is still accurate.
| Decision | When it applies | What happens to the content | Who signs it off |
|---|---|---|---|
| Migrate as it is | Used in the last two quarters, accurate, and has an owner | Moves with its metadata, folder and permissions mapped to the new structure | Content owner |
| Rewrite before it moves | Still needed, but out of date, off-message or duplicated by a newer version | Updated or merged first, then migrated as one current version | Content owner and product marketing |
| Archive | Not used in a year, superseded, or for a product or offer that no longer exists | Exported to an archive store with its metadata; not loaded into the new platform | Enablement lead, with legal for anything under a retention rule |
| Rebuild natively | Interactive content, playbooks, courses or pages built in the old platform's own editor | Recreated in the new platform rather than exported as files | Enablement lead |
The sales enablement migration plan template
Fill it in top to bottom: dates first, then the inventory, then the mapping and integrations, then the training and cutover plan. Square brackets mark what you replace. Keep it in one shared place and review it weekly with the owners named in it.

Checks before you switch off the old platform
| Check | Why it matters |
|---|---|
| Asset counts in the new platform match the "migrate" and "rewrite" totals | A gap means content was lost or skipped |
| Permissions tested by logging in as one user from each group | Restricted pricing or legal content must not become visible to everyone |
| Links in CRM templates, email signatures and playbooks point to the new platform | Old links break the day access ends |
| Usage history and buyer engagement data exported | You lose it at switch-off and may need it for reporting or renewals |
| Training and certification records reconciled | Managers and HR need completions to stay accurate |
| Written confirmation of how the old vendor handles your data after the contract ends | Data retention and deletion should be agreed, not assumed |

Harborview Metrics sells analytics software through 60 account executives and 20 SDRs. Its enablement contract ends on 31 March 2027 with 60 days' notice, and the team has chosen a new platform that covers content, onboarding and coaching in one place.

How to fill in a sales enablement migration plan
Start from the contract dates
Write the contract end date and the last date to give notice, then set the go-live and switch-off dates with a margin before the end date. Every other date in the plan is worked back from these.
Inventory before you move anything
List content by group with a count, an owner and the date each group was last used or updated. Export usage data from the current platform first, because it is the evidence for each decision.
Decide migrate, rewrite, archive or rebuild
Make one decision per group and get the owner to sign it off. Archive anything unused for a year rather than carrying it into a clean library.
Map structure and permissions
Map folders, tags, audiences, owners and expiry dates to their targets, then test the mapping on a sample of assets and by logging in as users from each group.
Pilot with one team
Move one team's content first and have them use it on live deals for a week or two. Fix what they cannot find before the full migration.
Train, run in parallel, then switch off
Train admins and managers before reps, keep the old platform read-only during a short parallel run, update links in CRM and email, export history, and remove access before the contract ends.
Common migration mistakes
Moving the whole library
Copying everything carries years of duplicates and outdated decks into the new platform, and reps stop trusting search in the first week. Decide per content group.
Missing the notice date
Many contracts renew automatically unless notice is given by a set date. Put the notice date at the top of the plan, not only the end date.
Losing metadata
Files moved without their tags, owners and expiry dates are hard to find and impossible to govern. Map metadata as carefully as the files themselves.
Defaulting permissions to everyone
Restricted pricing, legal and partner content becomes visible to the whole company. Map every audience and test it before go-live.
Forgetting the links
CRM email templates, playbooks and signatures still point to the old platform and break on switch-off. Update them during the parallel run.
Training reps before managers
Reps ask their manager first. Train managers and content owners before the wider rollout so they can answer.
How Revspire runs this migration
Revspire imports content and its metadata from Highspot and Seismic. For teams switching from either platform, we migrate your content and its metadata at no cost and credit the time left on your current contract; ask us for the terms.
Revspire Content Hub syncs two-way with SharePoint and OneDrive, so files that live in your existing storage stay in sync rather than being copied once and drifting. Onboarding, training and coaching run in the same platform as the content, and customers use it in place of an LMS for sellers, so training does not need a separate system to migrate into.
Sales enablement migration plan template FAQs
How long does a sales enablement platform migration take?
It depends mostly on how much content you have and how much of it you decide to rewrite, not on moving the files. Plan the work back from your contract notice date: planning, inventory and clean-up, mapping, a pilot with one team, the full migration and a short parallel run before the old platform is switched off.
What should you not migrate?
Anything nobody has used in a year, assets superseded by a newer version, and material for products or offers that no longer exist. Export it to an archive with its metadata instead, so it is available if someone needs it but does not clutter the new library.
Can you migrate content and metadata from Highspot or Seismic?
Files can be exported from most enablement platforms, but folders, tags, permissions and owners have to be mapped to the new platform's structure. Revspire imports content and its metadata from Highspot and Seismic, and migrates it at no cost for teams switching.
When should you start planning a migration?
Before the notice date in your current contract, not the end date. Many enablement contracts renew automatically unless notice is given by a set date, so check the contract first and work the plan back from that date with a margin.
What happens to usage analytics when you switch platforms?
Analytics history usually stays with the old platform. Export the views, shares and buyer engagement data you need before access ends, store the export in a named place, and agree in writing how the old vendor will handle your data after the contract ends.
