1. Introduction

Welcome to Revspire, a state-of-the-art Sales Enablement platform designed to revolutionize your sales processes and customer engagement. Our platform offers a range of features and functionalities aimed at optimizing your sales efforts, from lead generation to customer retention. This Privacy Policy serves as a comprehensive guide to understanding how we collect, use, disclose, and safeguard your personal information.

This Privacy Policy explains our processing practices; it does not treat consent as the legal basis for every use of personal information. Depending on the context, we process information to perform our contract, comply with legal obligations, pursue legitimate interests, or on the basis of consent where you are offered a genuine choice. Where we expressly ask you to accept this policy, that acceptance records that you received and acknowledged the current notice. If you do not agree with this Privacy Policy, you should refrain from using the affected services.

2. Scope

This Privacy Policy applies to all users of our platform, including but not limited to customers, business partners, and visitors to our website. Whether you are a sales representative using our platform to manage your leads or a business owner looking to streamline your sales processes, this policy is applicable to you. It covers all the different ways you might interact with Revspire, such as through our website, customer support channels, social media platforms, and other related services.

3. Information We Collect

In the digital age, the responsible handling of personal information is of the utmost importance. At Revspire, we are committed to respecting your privacy and safeguarding your data. This section outlines the types of information we collect from you and how we go about it.

3.1 Information You Provide

3.1.1 Account Information

When you sign up for an account with Revspire, we collect a variety of personal information to facilitate your use of our services. This includes but is not limited to your name, email address, phone number, and company name. We may also ask for additional information such as your job title, department, or industry to better tailor our services to your needs.

The collection of this information is essential for several reasons. Firstly, it allows us to set up your user account, providing you with access to our platform and its features. Secondly, it enables us to offer a more personalized experience, from dashboard customization to targeted content and notifications. Lastly, this information may be used for identification and verification purposes, enhancing the overall security of your account.

3.1.2 Contact Us / Request a Demo Forms

When you reach out to us through the “Contact Us” or “Request a Demo” forms on our website, we collect specific information to respond to your queries effectively. This usually includes your name, company name, email address, and phone number. You may also provide additional information in the message box, such as the nature of your inquiry or any specific questions you have.

Collecting this information serves multiple purposes. Primarily, it allows us to understand the context of your inquiry better, ensuring that we can provide the most relevant and timely response. It also helps us in assigning the right team or individual to address your needs, whether it’s a product demo, technical support, or a business partnership discussion. Furthermore, the data collected through these forms may be used for analytical purposes, helping us understand user engagement and improve our services accordingly.

3.1.3 Ask Revspire and AI Interactions

When you use Ask Revspire, we collect and store the questions, instructions, and feedback you submit; the responses and references returned to you; related conversation history and record context; and identifiers connecting the interaction to your user account and organization. Ask Revspire content may contain personal or confidential information when you choose to include it. You should submit such information only when you are authorized by your organization to do so.

We also record operational information associated with an Ask Revspire interaction, such as timestamps, feature and tool activity, model and token usage, error information, and technical request metadata. This information allows us to provide conversation history, generate responses, secure and troubleshoot the service, allocate usage, and produce the governance and usage information described below.

3.2 Information We Collect Automatically

3.2.1 Usage Data

As you interact with our platform, we automatically collect data about your usage. This includes the pages you visit, the features you use, the duration of your sessions, and other behavioral metrics. We may also collect technical data such as your IP address, browser type, and device information.

The primary purpose of collecting usage data is to improve and optimize our services. By understanding how you interact with our platform, we can identify areas for improvement, develop new features, and enhance existing ones. This data also helps us diagnose technical issues, monitor system performance, and ensure the overall reliability and security of our services.

3.2.2 Cookies and Tracking Technologies

We employ cookies, pixels, and other tracking technologies to enhance your user experience and provide personalized services. Cookies are small text files stored on your device that help us remember your preferences, login details, and other custom settings. Pixels are tiny graphic images that allow us to track your actions on our website.

The use of cookies and tracking technologies serves multiple purposes. They help us understand user behavior, analyze website traffic, and gauge the effectiveness of our marketing campaigns. They also enable features like auto-login and session recovery, making your interaction with our platform more convenient. You have the option to disable cookies through your browser settings, but doing so may affect the functionality of our services.

3.2.3 Privacy Policy Acceptance Records

When you accept this Privacy Policy in the Revspire platform, we record evidence of that action. The record includes your authenticated user and organization identifiers, the policy version and a cryptographic hash identifying the accepted policy copy, the exact acceptance phrase, a server-generated timestamp, the surface where acceptance occurred, your IP address, browser or user-agent information, and a request identifier. We use this evidence to administer access, demonstrate compliance, maintain security records, and resolve disputes.

3.3 Google User Data

We do not use Google Workspace APIs to develop, improve, or train generalized/non-personalized AI or ML models. Any Google user data accessed via our platform is used solely for the functionality of the services you opt-in to and is not transferred to third-party AI tools for such purposes.

3.4 Connected Mailboxes and Email-Share Attribution

When you connect and activate a mailbox for email-share attribution, Revspire periodically accesses the mailbox provider's Sent folder in the background. Scanning begins from the time the feature is enabled for that mailbox; Revspire does not use this feature to backfill messages sent before enablement. Message content is processed transiently only to identify organization-owned Revspire content-share links, including Revspire content-share and legacy public-download URLs.

For messages containing an eligible link, we process the sender mailbox, To, Cc, and Bcc recipients, the sent timestamp, the provider's message identifier, and the identified Revspire link and content identifiers. We may compare external recipient email addresses with customer relationship management records and opportunities supplied by your organization to determine whether shared content influenced a prospect or revenue opportunity.

We do not persist the message subject or body for this feature. We retain only the minimized delivery and link evidence, recipient and matching information, provider synchronization state, and attribution lineage needed to avoid duplicate events, reconcile later content opens, operate the feature, and support the revenue analytics described in this policy. Connected-mailbox data is not used to train generalized or non-personalized AI or machine-learning models.

4. How We Use Your Information

Your trust is paramount to us, and we are committed to using your information responsibly. This section outlines the various ways we use the information we collect from you.

4.1 To Provide Our Services

The primary reason we collect information is to provide you with our Sales Enablement platform and its associated services. This includes setting up your account, offering customer support, and delivering the features and functionalities that make up our platform. Your account information helps us personalize your experience, tailoring our services to meet your specific needs and preferences.

We also use your information to communicate important updates, such as changes to our terms of service, privacy policy, or any other legal agreements. Additionally, we may use your contact details to inform you about maintenance schedules, system outages, or any other information crucial to the use of our services.

4.2 Customer Support

Customer support is an integral part of the Revspire experience. When you reach out to us for assistance, whether it’s through email, phone, or our support portal, we use your information to identify your account and provide personalized help. This may include troubleshooting, answering queries, providing technical support, and guiding you through our features.

Your interaction history with our customer support team is stored and analyzed to improve the quality of our support services. It helps us identify common issues, develop support resources like FAQs and tutorials, and train our support staff to serve you better.

4.3 Marketing and Promotions

If you have opted in to receive marketing communications, we use your information to send you promotional materials, newsletters, and other marketing communications. We may use your email address, phone number, or other contact details to send you information about new features, special offers, and other updates related to Revspire.

We may also use tracking technologies to measure the effectiveness of our marketing campaigns. This includes monitoring open rates, click-through rates, and conversion rates to understand how our marketing efforts are resonating with our audience. You have the option to opt-out of receiving marketing communications at any time through the unsubscribe link in the emails or by contacting us directly.

4.4 Research and Development

In our quest to continually improve and innovate, we may use your information for research and development purposes. This involves analyzing usage patterns, user feedback, and other data to understand what’s working well and what needs improvement. The insights gained from this research help us in developing new features, optimizing existing ones, and enhancing the overall user experience.

Your information may also be used in aggregated or anonymized form for statistical analysis. This allows us to identify industry trends, compare our performance against benchmarks, and gain insights that can drive strategic decisions. Rest assured, any data used for research and development is stripped of personally identifiable information to maintain your privacy.

4.5 Legal Obligations

We may use your information to comply with legal obligations and regulatory requirements. This includes responding to subpoenas, court orders, or other legal processes that we may receive. We may also use your information to enforce our terms of service, protect our rights, and safeguard the integrity of our platform.

In cases where we are required to disclose your information for legal reasons, we will make every effort to notify you, unless prohibited by law or court order. Our legal team reviews all requests for information carefully to ensure they meet legal criteria before any disclosure is made.

4.6 Use of Google User Data

Google user data accessed via our platform is strictly used to enhance service functionality, such as account management and productivity features. We do not use Google user data for developing, improving, or training generalized/non-personalized AI or ML models. Additionally, no Google user data is transferred to third-party AI tools for such purposes.

4.7 Ask Revspire Administration and Analysis

Authorized administrators designated by the organization that provides your Revspire account may review identifiable Ask Revspire questions, responses, conversation history, and associated usage information. Administrative review may be used for support, security, governance, quality assurance, adoption and usage analysis, and enforcing the organization’s policies. If an organization intends to use this information for employee monitoring, performance evaluation, or another employment-related purpose, that organization is responsible for providing any additional notice and establishing an appropriate legal basis as required by applicable law.

Revspire personnel may access Ask Revspire content only where reasonably necessary to provide contracted support, investigate security or reliability issues, comply with law, or perform other activities described in this policy and the applicable customer agreement. Ask Revspire conversation content is not used to train generalized AI models unless we provide a separate notice and obtain any authorization required by applicable law.

4.8 Email-Share Revenue Analytics

Revspire uses minimized connected-mailbox evidence to record when a seller sends Revspire content to an external recipient, associate a later content-share open with that delivery, match the recipient to an unambiguous CRM opportunity, and calculate content-influenced pipeline and revenue analytics. A sent message and a later open may appear as separate evidence touches, while Revspire applies attribution and deduplication rules intended to avoid counting the same CRM record or content asset more than once in headline metrics.

Authorized administrators of the organization that provides your account may view seller-level delivery, prospect-matching, content-influence, and revenue-attribution analytics. The customer organization controls which mailboxes are connected or active and how these analytics are used. If it uses them for employee monitoring, performance evaluation, or another employment-related purpose, it is responsible for providing any additional notice and establishing an appropriate legal basis as required by applicable law.

4.9 Legal Bases

We rely on the performance of a contract to provide requested platform functionality; legitimate interests to secure, support, and improve the service in a necessary and proportionate manner; legal obligations where processing is required by law; and consent for optional activities where applicable law requires consent. Where your employer or another customer organization controls your account and determines how administrative analytics are used, that organization is responsible for identifying its legal basis and meeting its transparency obligations.

5. Disclosure of Information

We understand the importance of keeping your information secure and are committed to protecting your privacy. This section outlines the circumstances under which we may disclose your information.

5.1 Third-Party Service Providers

To offer a comprehensive and efficient service, we may share your information with third-party service providers who assist us in various capacities. This includes payment processors, customer support services, analytics providers, and cloud storage services. These providers are contractually obligated to protect your information and use it only for the purposes for which it was disclosed.

We vet all our third-party service providers carefully to ensure they meet stringent security and privacy standards. Any data shared with these providers is transmitted over secure channels and stored in compliance with industry best practices.

5.2 Legal Requirements

We may disclose your information if required by law or if we believe that such action is necessary to comply with legal obligations. This could include responding to court orders, subpoenas, or other legal processes. We may also disclose your information to protect our rights, property, or safety, as well as the rights, property, or safety of our users or the public.

In such cases, we will make every effort to notify you of the disclosure, unless we are prohibited from doing so by law or court order. We will also take steps to ensure that the disclosure is made in accordance with applicable legal requirements, limiting the scope of the disclosure to the extent necessary.

5.3 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, your personal information may be transferred to the new business entity. We will take reasonable steps to ensure that any such transfer is conducted in compliance with this Privacy Policy and applicable data protection laws. You will be notified of any change in ownership or control of your personal information and will be given the option to opt-out of the transfer if permitted by law.

The primary objective of disclosing your information in the context of a business transfer is to ensure the continuity of services. The acquiring entity will be subject to the same obligations regarding your personal information as outlined in this Privacy Policy unless you are informed otherwise.

5.4 Google Workspace Data Disclosure

We do not transfer Google Workspace user data to third-party AI tools for developing, improving, or training generalized/non-personalized AI or ML models. Any disclosure of Google user data is conducted solely to fulfill the intended functionality of our services in compliance with Google’s API usage policies.

5.5 Customer Organizations and AI Service Providers

If your account is provided or managed by a customer organization, authorized administrators of that organization may receive the Ask Revspire and usage information described in this policy. We may also use contracted cloud, security, analytics, and AI service providers to process Ask Revspire content on our behalf for the purpose of delivering and protecting the service. Those providers are subject to contractual confidentiality, security, and data-use restrictions. Information about relevant subprocessors and international-transfer safeguards is made available through our contractual and compliance materials.

5.6 Mailbox Providers, CRM Systems, and Customer Organizations

To provide email-share attribution, Revspire exchanges requests with the mailbox provider selected by the user and processes CRM records made available by the customer organization. Authorized organization administrators may receive the resulting seller and revenue analytics. Mailbox and CRM providers process information under their own terms and privacy notices, while service providers acting for Revspire are subject to applicable contractual confidentiality, security, and data-use restrictions.

6. Data Retention and Security

6.1 Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. This means that we keep your account information as long as your account is active and for a reasonable period afterward in case you decide to reactivate our services.

We also retain some of your information as necessary to comply with legal obligations, resolve disputes, enforce our agreements, and for other legitimate business purposes. When we no longer need to retain your personal information, we will securely delete or anonymize it.

Ask Revspire conversations are generally retained while the relevant user account and customer environment remain active or until they are deleted through available product controls, subject to contractual retention requirements and any longer period needed for security, legal, or dispute-resolution purposes. Aggregated or de-identified usage information may be retained for longer where it can no longer reasonably identify an individual.

Derived email-share delivery, recipient-matching, and attribution records are retained while the relevant customer environment remains active and as needed to provide historical revenue analytics, prevent duplicate attribution, comply with contractual retention settings, and meet security, legal, or dispute-resolution obligations. Deactivating a mailbox stops future Sent-folder scanning but does not automatically delete previously derived attribution records. Users and customer organizations may use available mailbox controls or contact Revspire to deactivate a mailbox and may request deletion or restriction of eligible derived records, subject to contractual and legal retention requirements.

Privacy Policy acceptance records and related audit events are retained for as long as reasonably necessary to demonstrate the notice presented and the action taken, administer access, comply with legal obligations, and establish or defend legal claims.

6.2 Security Measures

The security of your personal information is of paramount importance to us. We employ a variety of security measures designed to protect your information from unauthorized access, use, or disclosure. This includes the use of encryption technologies, firewalls, and secure socket layer (SSL) protocols.

We also implement administrative, technical, and physical safeguards to further protect your information. Our employees and contractors who have access to your personal information are required to adhere to strict confidentiality obligations. Moreover, we regularly review and update our security practices to ensure the ongoing integrity and confidentiality of your data.

7. Your Rights and Choices

7.1 Access and Rectification

You have the right to request access to your personal information that we hold. This enables you to receive a copy of the personal information we have about you and to check that we are processing it lawfully. You also have the right to request the correction of any inaccurate or incomplete personal information that we hold about you.

To exercise these rights, you can log in to your account and make the necessary changes or contact our customer support team for assistance. We will respond to all legitimate requests for access and rectification within a reasonable timeframe.

7.2 Erasure and Restriction

You have the right to request the deletion or restriction of your personal information, subject to certain exceptions. For example, you may ask us to delete your account and all associated data if you no longer wish to use our services. However, we may retain some of your information as required by law or for legitimate business purposes.

The right to restriction allows you to limit the way we use your personal information while a complaint is being investigated. During this period, we will store your information but not use it for the purposes you have restricted. Once the investigation is complete, we will either delete the data or resume its use, depending on the outcome.

To exercise these rights, you can contact our customer support team, who will guide you through the process. We will respond to all legitimate requests for erasure and restriction within a reasonable timeframe.

7.3 Data Portability

You have the right to request a copy of your personal information in a structured, commonly used, and machine-readable format. This enables you to transfer your information to another service provider easily. The right to data portability is applicable to information you have provided to us and that we process based on your consent or for the performance of a contract.

To exercise this right, you can contact our customer support team, who will assist you in exporting your data. We will respond to all legitimate requests for data portability within a reasonable timeframe.

7.4 Organization-Managed Accounts

When a customer organization provides or controls your account, it may act as the controller for account content and administrative analytics while Revspire acts as its service provider or processor. Requests concerning an organization’s use of Ask Revspire conversations or email-share revenue analytics may need to be directed to that organization. We will assist the organization in responding where required by our agreement and applicable law.

Users and authorized organization administrators can deactivate connected mailboxes through available product controls. Deactivation stops future mailbox scanning. Requests to access, delete, export, or restrict derived mailbox and attribution information may be directed to the customer organization or to Revspire using the contact information below, depending on who controls the relevant information.

8. International Data Transfers

Your personal information may be transferred to, stored, and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. We take appropriate measures, including contractual clauses, to ensure that your information is protected and treated securely in accordance with this Privacy Policy.

Where required, we use recognized transfer safeguards such as adequacy decisions, the EU-U.S. Data Privacy Framework for participating organizations, Standard Contractual Clauses, the UK International Data Transfer Agreement or Addendum, and supplementary technical and organizational measures. The safeguard used depends on the destination, recipient, and applicable law.

9. Changes to This Policy

We reserve the right to update this Privacy Policy at any time. Changes will become effective when posted on this page, and the “Last Updated” date at the top will be updated accordingly. We will notify you of significant changes by sending an email to the address associated with your account or through in-platform notifications.

We encourage you to review this Privacy Policy periodically to stay informed about how we collect, use, and protect your information. Where a material update requires renewed acceptance, the Revspire platform will identify the new version and ask you to take an explicit acceptance action before using affected functionality.

10. Contact Us
