How much does digital sales room software cost?

Digital sales room pricing is mostly published: of 15 vendors checked, all 10 standalone tools list prices, from $7 to $160 per user a month. The five enablement suites with rooms quote instead, with Vendr medians of $31,950 to $60,005 a year (February 2026).

Unlike most sales enablement software, standalone digital sales room tools usually show their prices. All ten in the first table publish at least one paid price, and five have a free plan. The catch is that the prices are not like for like: some are per seat, some are a plan fee with seats included, one adds an unpublished platform fee, and the lower tiers often cap how many rooms you can run.

"Digital deal rooms" are listed on Advanced (Paperflite pricing).None describedNo dated benchmark
Vendor pages checked on 26 October 2026, except Aligned (21 October 2026; its page could not be re-opened). "No dated benchmark" means we found no third-party price data that states both a date and a sample size. Prices are list prices before tax and discounts.

Three things to read into the table. First, the per-user figures belong to very different products: Qwilr and GetAccept are proposal and signing tools with rooms, Paperflite is a content platform whose Advanced plan adds deal rooms, Accord is built around mutual action plans and sales methodology, and Journey and Hummingdeck are lighter page and document-sharing tools. Second, the cheapest rate on a page is often the annual one, so check the billing basis before you compare. Third, none of the ten has a third-party price benchmark we could use, so the vendor's own page is the reference.

One vendor is missing on purpose. Recapped's pricing page says "Recapped is shutting down 7/31/2026 and will not be taking on new customers", so it is no longer an option, and it is a reminder to ask any small vendor what happens to your rooms and data if it closes. We could not verify DealHub's DealRoom pricing: no DealHub price page was reachable when we checked.

What do enablement suites charge for their sales rooms?

Several enablement platforms include a room inside a wider suite, and none of them prices the room on its own. The third-party data below is for the whole platform, not the room, so use it to size the suite you would be buying rather than as a room price. The figures come from Vendr, a software purchasing marketplace that publishes median contract values from its own transactions.

AllegoIts Digital Sales Rooms page says rooms are "priced per user per month" (Allego).Per user per month, billed annually upfront; rates not published (Allego pricing guide). No dated benchmark
Vendr data last updated February 2026, checked on 19 October 2026 (Showpad on 21 October 2026). Vendor pages checked between 15 and 26 October 2026, as dated in the sources; Allego's rooms page on 26 October 2026.

If a suite is already on your shortlist for content and training, the room question is whether it is included in the package you need or added on top. Ask for the room as its own line item on the quote, even if it is bundled, so you can compare it with a standalone tool. Our sales enablement software pricing guide covers the suites in more depth.

Per seat, per room or per workspace: what happens as the team grows?

Almost every room tool here charges for internal users, and the differences are in how the first seats are bundled and what the cheap tiers limit. Rooms themselves are rarely the meter on a paid plan; room caps are how the free and entry tiers push you up.

Per seat, unlimited roomsTrumpet (Pro and up), Flowla Team, Aligned Basic and Pro, GetAccept, Qwilr, Journey (Grow and up), Hummingdeck Business, Paperflite.Cost rises with every internal user. Qwilr says it allows as many shareable pages "as you need. No limits."
Plan fee with seats includedDock (5 or 10 users, then $50 a month per extra seat); Hummingdeck Starter ($10 a month for 1 user).Flat until you pass the included seats, then per seat. Dock moves to a custom Enterprise contract at 25+ users.

Room or document caps on lower tiersTrumpet Free (10 Pods per account), Aligned Starter (4 rooms per seat), Flowla Starter (20 rooms), Hummingdeck (1, 3 and 15 deal rooms on Free, Starter and Pro), Journey Start (2 Journeys). The cap, not the headcount, sets the tier: a seller running more live deals than the cap moves up a plan.
Seat minimumsGetAccept Professional (5), Qwilr Growth (5) and Scale (10), and one of Paperflite's two price blocks (5).A small team pays for the minimum, so the effective per-seat cost is higher than the list rate.
WorkspacesTrumpet Elite (Workspaces for teams, regions or brands), Aligned Enterprise (multiple team workspaces).Separate teams or brands push you to the top tier; none of the room tools here prices per workspace.

Here is what that means at list price, before discounts and tax. The plans are not like for like, so treat this as a range check rather than a ranking.

  • 10 internal users a year. Dock Premium $12,000; Trumpet Scale $10,000 billed annually; Flowla Team $11,880; Accord Starter from $11,880 plus the platform fee; Qwilr Growth from $6,600; GetAccept Professional 5,880 $; Aligned Pro 5,880 in an unstated currency; Journey Scale $5,880 at its card rate; Hummingdeck Business $4,800 at the monthly rate.
  • 50 internal users a year. Trumpet Scale $50,000; Flowla Team $59,400; Accord Starter from $59,400 plus the platform fee; Qwilr Growth from $33,000; GetAccept Professional 29,400 $; Hummingdeck Business $24,000 at the monthly rate. Dock lists a custom Enterprise contract from 25 users.
  • Buyers and guests. Usually free, but only three vendors say so on their pricing pages: Dock ("All external collaborators—including prospects, clients, and partners—have free access"), Aligned ("Unlimited buyer stakeholders") and Hummingdeck ("There's no limit on viewers or views on any plan"). Trumpet, Flowla, Qwilr, Journey, Accord and Paperflite do not say, so confirm it before you size a plan.

Which digital sales room costs are easy to miss?

The headline seat price is the easy part. These are the costs and conditions on the vendors' own pages that change the real bill.

  • Platform fees. Accord prices every plan per user "+ platform fee" and publishes no amount, so its starting rates are not the total.
  • Minimums and terms. GetAccept says all plans "cover a 12 month agreement period", Qwilr Growth and Scale are "Annual billing only", Dock Premium is billed annually and its Enterprise plan is an annual contract. Flowla Team is the exception, "rolling monthly, with no minimum seats".
  • Features gated by tier. E-signature is on Flowla Team but not Starter, and on Trumpet from Scale. Single sign-on sits on Trumpet Elite, Flowla Enterprise, Accord Enterprise and, for Okta and Azure, Dock Enterprise, so an IT review can set the tier before the feature list does.
  • AI credits and limits. Flowla gives 500 one-time credits on Starter and 500 per seat a month on Team, covering room generation and AI documents. Dock does not publish its AI fair-use thresholds, and Aligned says long-term pricing for its Seller Agent is not finalised (Aligned pricing guide).
  • Small add-ons. Journey charges $10 a month for a custom domain on every plan, and GetAccept lists add-ons such as unlimited AI content and CPQ without prices.
  • Currency and tax. Hummingdeck's prices exclude VAT or sales tax, Qwilr charges in AUD in Australia and New Zealand, and Aligned and Paperflite name no currency at all. Get the currency on the order form.
  • Suite add-ons. Inside a suite, rooms can be an extra line: Vendr says Mindtickle's digital sales rooms and revenue intelligence add 20–40% when bundled with the core platform (February 2026).
  • Vendor continuity. Recapped stopped serving customers on 31 July 2026. Ask every vendor how you export rooms, content and engagement history, and what notice you get if the product closes.

How to negotiate digital sales room pricing

Most room vendors publish a price, so the negotiation is less about the rate card and more about seats, term and what is included. This checklist uses only what the vendors publish.

  • Count internal seats only. Get it in writing that buyers, champions and partners are free. Dock, Aligned and Hummingdeck say so on their pricing pages; for the rest, ask.
  • Model the bill at renewal headcount. Price today's team and the team you expect in a year. A plan fee with included seats, like Dock's, is cheaper for a small team; per-seat plans scale in a straight line. The Trumpet vs Dock comparison shows how two published price lists diverge.
  • Trade term for rate, knowingly. Annual billing is cheaper on most pages: Trumpet's annual rate is about 17% below monthly, Aligned labels its annual option "Save 18%", Qwilr "Save 29%" and Hummingdeck "Save up to 20%". Ask whether annual means paid upfront and what notice ends it.
  • Ask for every fee and minimum. Accord's platform fee, GetAccept's five-user minimum on Professional, Qwilr's five- and ten-user minimums and Paperflite's two price blocks all need an exact figure on the quote. Paperflite's FAQ says it offers discounts for "larger teams or organizations with high user counts".
  • Test on a free plan first. Dock, Trumpet, Aligned, Flowla and Hummingdeck have free plans, and Qwilr, Journey and GetAccept offer trials. Run one real deal through the room before you commit, and check whether the free plan's room cap is what forces the upgrade.
  • Compare like for like. Ask each vendor to quote the same seats, term and features, including e-signature, CRM sync and single sign-on, and set them side by side as in Aligned vs GetAccept.
  • Protect your data. Write data export and closure notice into the contract. Recapped's shutdown shows why.

Digital sales rooms are not virtual data rooms

Search results for room pricing often mix in virtual data rooms (VDRs), which are a different product with a different price basis. A digital sales room is a buyer-facing space for a live deal: the seller shares content, a mutual action plan and next steps with the buying committee and sees who engaged. It is bought by sales teams and, as the tables above show, priced mainly per internal seat.

A virtual data room is a secure document repository for due diligence, used in fundraising, M&A, IPO preparation and audits. Papermark, which sells data rooms, says "There are four pricing models used across every VDR in the market": flat rate, per user, per page and per gigabyte of storage, with some providers charging $60 to $77 per GB a month and some adding per-project fees (updated 19 September 2026). If a quote is per page, per gigabyte or per transaction, it is a data room price, not a sales room price. Some document tools sell both; see our DocSend pricing guide.

Frequently asked questions

How much does digital sales room software cost?

Standalone tools publish prices from $7 to $160 per user a month: Journey starts at $7 billed annually, Flowla Team is $99 per seat a month and Trumpet Elite $160. Dock charges a plan fee instead, $350 a month for 5 users or $1,000 a month billed annually for 10. Suites with rooms, such as Highspot and Seismic, quote through sales.

How much does a digital sales room cost per user?

On the mid tiers checked on 26 October 2026, most fall between $25 and $100 per user a month: Hummingdeck Pro $25, GetAccept Professional 49 $, Qwilr Growth from $55, Flowla Team $99 and Trumpet Scale $100. Accord starts at $99 per user plus an unpublished platform fee, and annual billing lowers most of these rates.

Is there free digital sales room software?

Yes. Dock, Trumpet, Aligned, Flowla and Hummingdeck have free plans, each capped: Trumpet at 10 Pods per account, Aligned at 4 rooms per seat, Flowla at 20 rooms and Hummingdeck at 1 deal room. Qwilr and Journey offer 14-day trials instead, and GetAccept a free trial of unstated length.

Do buyers need a licence to use a digital sales room?

Usually not, but check. Dock says it "only charges for internal team members", Aligned lists "Unlimited buyer stakeholders" and Hummingdeck says there is no limit on viewers on any plan. Trumpet, Flowla, Qwilr, Journey, Accord and Paperflite do not say on their pricing pages.

Is a digital sales room the same as a virtual data room?

No. A digital sales room is a buyer-facing deal space priced mainly per seller seat. A virtual data room is a secure repository for due diligence in M&A, fundraising or audits, and Papermark lists flat-rate, per-user, per-page and per-gigabyte pricing as the four VDR models.

Is there digital sales room software that is not priced per seat?

Partly. Dock's plan fees include 5 or 10 users before extra seats, and Hummingdeck Starter is a flat $10 a month for one user. Revspire prices by module with unlimited user licenses; its average customer pays about $25,000 USD a year.
