9 Best Document Tracking Software Tools in 2026
A practical perspective for connecting this idea to your revenue team’s next move.
Document tracking software shares a file as a tracked link instead of an attachment, then shows who opened it, which pages they read and for how long. It also controls access with email gates, expiry dates and download blocks. Leading options in 2026 include DocSend, Digify, Orangedox, Papermark, HubSpot, PandaDoc, Paperflite, Revspire and Showell.
Each tool below is described from its own product and pricing pages, with one limitation and when to choose it.
Last updated: 20 October 2026
Disclosure: Revspire publishes this list and is one of the tools on it. Tools are grouped by type, with each vendor’s own published information checked on 20 October 2026. Within each group they are listed alphabetically; the order is not a ranking.
What is document tracking software?
Document tracking software replaces attachments with links you control: the recipient reads the file in a browser viewer and the sender gets a record of the visit. Secure document sharing software is the same category seen from the access side. Most tools do five jobs:
- Tracked links: one link per recipient, or an email gate, so each view is tied to a person.
- Engagement data: opens, time per page and repeat visits, with an alert on each open.
- Access control: email verification, passcodes, expiry, download blocking, watermarks and NDA gates.
- Update behind the link: replace the file without sending a new link.
- CRM logging: view events recorded against the contact or deal.
Attention is short, which is why page-level data matters. In DocSend’s pitch deck research (Dropbox, 1 April 2025), investors spent less than three minutes reviewing a deck. Revspire’s digital sales room benchmark (last updated 17 October 2026; about 40 B2B companies, October 2025 to September 2026) found that 80% of rooms were forwarded to someone new after the first share, and a later cut found a median of 95 seconds on a shared proposal or deck; it presents these as patterns, not proof of cause and effect. And buyers often read alone by choice: in a Gartner survey published on 9 March 2026, 67% of 646 B2B buyers said they prefer a rep-free experience. Our glossary entry on buyer engagement analytics covers which signals to act on.
How to choose document tracking software
- Tracking depth: document-level views, or time per page per visitor.
- Controls on your plan: email verification, NDAs and watermarks are often on higher tiers.
- Updating files: replace a file without breaking links, and keep its view history.
- CRM sync: often a paid add-on, especially for Salesforce.
- One file or a whole deal: single links, a data room, or a deal room with a mutual action plan.
- Content source: uploads, Google Drive or Dropbox sync, or a governed library.
- Pricing model: per user, per account or per workspace; minimums and annual terms.

Tracked-link and data room tools
These are the standalone tools most people mean by “DocSend alternatives”: send a file, control it, see what happened, and add a data room when due diligence needs many files.
DocSend
DocSend calls itself a secure document-sharing platform, and names fundraising, M&A and investor communications among its uses (DocSend). Dropbox announced on 22 March 2021 that it had completed its acquisition of DocSend, and DocSend’s site says it is part of Dropbox.
- Standout capabilities: a unique link per recipient; views and time on each page by individual; passcodes; revoking one person’s access; one-click NDAs; Dropbox, Google Drive, Box, OneDrive, Gmail and Outlook integrations (features); links that update without disrupting the viewer.
- Pricing: the page shows Standard at $30/user/month (one user), and Advanced at $150/month and Advanced Data Rooms at $180/month, each with three users. It has a monthly and yearly billing toggle (“save up to 40%” yearly) but does not say which option these figures reflect; a free trial is offered (pricing, checked 20 October 2026).
- Limitation: Salesforce is an additional-cost add-on on every plan, and visitor email authentication, NDAs and dynamic watermarking start at Advanced.
- Choose it if: you share fundraising, board or deal documents and want data rooms in the same account.
Digify
Digify says it lets businesses share, track and protect documents “even after download” (Digify).
- Standout capabilities: opens, total viewing time and time per page with real-time alerts; automatic expiry and instant revocation (document tracking); copy, print and download restrictions and dynamic watermarks (secure sharing); data rooms with Q&A and audit logs; Salesforce, HubSpot and Slack integrations. Digify states it is ISO 27001 certified and compliant with GDPR and HIPAA.
- Pricing: its pricing page did not load in our text-only check on 20 October 2026; a free trial needs no credit card.
- Limitation: its pages centre on document security and data rooms (M&A, real estate) rather than managing approved sales content.
- Choose it if: the file itself is sensitive, such as pricing or IP, and you need control after download.
Orangedox
Orangedox describes itself as virtual data rooms for Google Drive: it turns existing Drive or Dropbox folders into tracked shares and data rooms, and Drive updates sync automatically (Orangedox blog, October 2026).
- Standout capabilities: time each recipient spends on each page; email and in-app open alerts; NDA gating; device-level security that blocks a forwarded link on a new device; dynamic watermarking.
- Pricing: the same post lists Starter at $55 a month billed yearly ($75 monthly, one admin), Business at $65 ($95 monthly, two admins) and Teams from $135 ($195 monthly, five admins), with a 14-day free trial. We could not open its pricing page, so confirm there.
- Limitation: NDA gating is listed on Business and Teams only, and watermarking on Teams.
- Choose it if: your documents live in Google Drive or Dropbox and you do not want to re-upload them.
Papermark
Papermark calls itself a secure data room for modern dealmakers; its GitHub repository describes “the open-source DocSend alternative” under an AGPLv3 licence (Papermark; GitHub).
- Standout capabilities: view duration and completion per visitor; custom domains; passwords, NDA gating, watermarks and screenshot protection; AI redaction; an API and MCP support; a self-hosted option.
- Pricing: Free (one user, 50 documents, 50 links); Pro €24/month; Business €59/month, shown as billed yearly, for three members; Data Rooms €99/month. The page has a monthly and annual toggle and does not say which option the Pro and Data Rooms figures reflect. It showed euros, with a dollar option (pricing, checked 20 October 2026).
- Limitation: email verification starts at Business, NDA agreements and dynamic watermarks are listed under Data Rooms, and the self-hosted option under Enterprise.
- Choose it if: you want a free start or need to host the tool yourself.
Document tracking inside CRM and e-signature tools
If you already pay for one of these, check its tracking before buying a separate tool. Expect fewer access controls.
HubSpot (Documents in Sales Hub)
HubSpot’s tool is called Documents (Sales > Documents) and needs Sales Hub or Service Hub Starter or above, or Smart CRM Professional or Enterprise (HubSpot Knowledge Base, updated 9 September 2026).
- Standout capabilities: upload from your computer, Dropbox, Google Drive or Box; share a short link; require an email address and consent before viewing; allow or turn off downloads; a visitors table and view notifications; re-upload a file behind existing links.
- Pricing: Sales Hub is priced per seat, and Professional needs a one-time $1,500 onboarding fee. The Starter and Professional cards each showed two per-seat figures without saying which billing option or offer each applies to, so see HubSpot’s pricing page (checked 20 October 2026).
- Limitation: the help article warns that shared documents are “publicly available on the internet” and that re-uploading may cause discrepancies in viewing data.
- Choose it if: your sellers live in HubSpot and need simple view alerts, not data rooms.
PandaDoc
PandaDoc tracks documents created and sent in PandaDoc, such as proposals, quotes and contracts, from creation through signature (document tracking, modified 21 July 2026).
- Standout capabilities: an audit trail; a dashboard of documents created, viewed, sent and signed; view and signature alerts; per-page analytics with times viewed, total time, last view, downloads and link clicks.
- Pricing: Free (five documents a month); Starter $19 and Business $49 per seat per month, billed annually; Enterprise custom (pricing, modified 19 October 2026, checked 20 October 2026).
- Limitation: notifications are on every plan, but recipient analytics, passcodes and automatic expiry are listed from Business, and Salesforce needs a paid add-on.
- Choose it if: the documents you most need to track end in a signature.
Sales enablement platforms with tracked sharing
For sales teams, the tracked link is the last step of a longer job: find the approved asset, share it, learn what buyers read. These platforms track every share from the library sellers already use. If the library is the bigger problem, see our guide to the best sales content management software.
Paperflite
Paperflite calls itself an AI-native revenue enablement platform with a content hub, interactive content experiences and AI coaching (Paperflite).
- Standout capabilities: a content hub that syncs with SharePoint, Dropbox and Google Drive; personalised microsites and collections; analytics for each asset; “Adaptive Smart Gating”; digital deal rooms.
- Pricing: Starter $30, Professional $50 and Advanced $60 per user per month as shown, with lower figures shown for a five-user minimum; the page has a monthly and annual toggle and does not say which option each set reflects. Enterprise through sales (pricing, checked 20 October 2026).
- Limitation: CRM and email integrations and secure content distribution are listed from Professional, and deal rooms from Advanced.
- Choose it if: marketing sends personalised collections or microsites and wants engagement per asset.
Revspire
Revspire is an AI sales enablement platform. Its Content Hub is a governed sales content repository whose versioning keeps every shared link current: publish a new version once and links already shared show it. Deal Room adds digital sales rooms with secure content sharing.
- Standout capabilities: search by meaning, context and tags; duplicate merging; content recommendations inside the CRM; content gap insights; asset usage and performance analytics. Deal Rooms add mutual action plans, stakeholder mapping, AI content recommendations by deal stage and role, and real-time buyer engagement analytics.
- Pricing: priced per module rather than per seat, with unlimited user licenses; Content Hub is the base module, and Deal Room is added to it. Pricing is quoted by sales.
- Limitation: not a standalone tracked-link tool, and its module pages do not itemise link settings such as expiry or download blocking, so check those in a demo. It is also a newer vendor with a smaller integration marketplace than the largest suites.
- Choose it if: reps share many assets across many deals and you want the library, the tracked share and the deal room in one place.
Showell
Showell positions itself as sales enablement for companies selling through field teams and dealer networks (Showell).
- Standout capabilities: links and QR codes for any file type; unlimited digital sales rooms; expiry dates, PIN protection, email verification and view-only or download permissions; open alerts; slide engagement; offline presenting.
- Pricing: Professional “starting at $715” per workspace (including users) per month for 10 to 200 users; Enterprise by quote. Plans need a 12-month minimum with automatic renewal (pricing, checked 20 October 2026).
- Limitation: Salesforce, HubSpot and Dynamics integrations, and syncing tracking to the CRM, are add-ons.
- Choose it if: field reps present in person, sometimes offline, and share from a branded app afterwards.
Tracked link, data room or deal room: which do you need?
A tracked link answers “what did they read?” and suits one file for one or two people: a pitch deck, a one-pager, a security whitepaper. A data room answers “who may see which files?” for due diligence, with permissions, NDAs and audit logs. A deal room answers “where is this deal?”: it holds the content, the mutual action plan and the stakeholder list in one place.
Move to a deal room when files are forwarded to people you have not met, when one deal needs several assets, or when next steps need owners on both sides. Our guide to the best digital sales room software compares those tools.
What should sellers do with tracking data?
- Opened briefly: offer a ten-minute walk-through of the two pages that matter.
- A viewer you did not send it to: find out who they are; a forward often reveals the wider buying group.
- Repeat visits to pricing: prepare for that conversation and bring the right person.
- No open after a few days: ask your champion whether it reached the right person.
An email gate collects personal data, so check your privacy notice and the vendor’s data processing terms first.

Frequently asked questions
What is the best document tracking software?
It depends on what you share. For fundraising and deal documents, shortlist DocSend, Papermark, Digify or Orangedox; for documents that end in a signature, PandaDoc; for HubSpot teams, HubSpot Documents. Sales teams sharing many assets should look at Paperflite, Revspire or Showell.
What is the best DocSend alternative?
Papermark is described in its repository as the open-source DocSend alternative and has a free plan and a self-hosted option. Digify suits files that need control after download, and Orangedox suits teams working from Google Drive.
How do I track who viewed my pitch deck?
Send a tracked link instead of a PDF, with an email gate or one link per investor so each view is tied to a person. Then read time per page: DocSend’s research (1 April 2025) found investors spent less than three minutes on a deck, so a long stop on one slide shows where the questions are.
Is there free document tracking software?
Yes. Papermark’s Free plan includes page-by-page analytics for one user, 50 documents and 50 links. PandaDoc’s Free plan has real-time notifications for five documents a month, but recipient analytics start at Business.
How much does document tracking software cost?
On vendor pages checked on 20 October 2026, Papermark and PandaDoc had free plans; paid entry plans included PandaDoc Starter at $19 per seat per month billed annually, DocSend Standard at $30/user/month (billing option not stated) and Orangedox Starter at $55 a month billed yearly, per an Orangedox blog post. Showell Professional starts at $715 per workspace per month for 10 or more users.
How we checked these tools
We described each tool from its own product, pricing and help pages on 20 October 2026, without hands-on tests, review ratings or vendor-reported customer results. Where a page did not load, the entry says so. Confirm prices with the vendor before you buy.
