Last updated: 20 October 2026

Disclosure: Revspire publishes this list and does not sell an RFP software tool, so it is not included. Tools are grouped by type and listed alphabetically within each group, with each vendor’s own published information checked on 20 October 2026; the order is not a ranking.

What is RFP software?

RFP software (also sold as RFP response software or response management software) is a system for answering buyer-initiated questionnaires: RFPs, RFIs, RFQs, due diligence questionnaires (DDQs) and security questionnaires. It does five jobs:

  • Answer library: one approved version of each answer, with owners and review dates.
  • Import and draft: parse Word, Excel or PDF questionnaires and fill first drafts, increasingly with generative AI.
  • Collaboration: route questions to security, legal and product experts, with deadlines.
  • Review and approval: reviewer steps before submission, with an audit trail.
  • Export and reporting: answers in the buyer’s template; reports on volume and reuse.

RFP response software answers questions the buyer wrote; proposal software builds a document the seller starts, with templates, pricing tables and e-signature. If your sellers start most documents, see our guide to the best sales proposal software. PandaDoc’s RFP software page (modified 21 July 2026), for example, describes templates and a library of pre-loaded answers, not questionnaire import.

Loopio’s 2026 RFP Response Trends & Benchmarks report (run with APMP, 1,533 respondents) found teams submitted an average of 166 RFPs a year and spent 33 hours on each, with an average win rate of 39% in 2025, down from 45% in 2024; 79% used AI in RFP workflows in the previous 12 months, and 69% use RFP software. Loopio sells RFP software, so read these as vendor-run survey figures.

How to choose RFP response software

  • Document mix: long-form RFPs and bids, high-volume security questionnaires, or both.
  • Where answers come from: a curated Q&A library, live connections to Drive, SharePoint or your enablement platform, or both.
  • AI you can check: cited sources, confidence scores and human review of AI answers.
  • Library upkeep: owners, review and expiry dates, duplicate or conflict detection.
  • Who counts as a user: per seat, unlimited users or per RFP; whether occasional experts are billed.
  • Integrations on your plan: CRM, Microsoft 365, Slack or Teams; some vendors sell them as add-ons.
  • Data handling: where the AI runs and whether your content trains models, per the vendor’s own pages.

Worked example: multiply RFPs a year by hours per RFP. At the averages in Loopio’s 2026 report (166 RFPs, 33 hours each), that is about 5,500 hours a year, before expert time outside the proposal team. Give each shortlisted vendor the same past RFP and ask which of those hours its tool removes on your content, not a demo library.

Response management platforms

The established answer-library platforms, for proposal desks that answer formal RFPs and questionnaires every week.

Loopio

Loopio sells AI RFP software covering RFPs, RFIs, RFQs, DDQs, security questionnaires and sales proposals (Loopio, modified 22 September 2026).

  • Standout capabilities: a library of pre-approved answers; question import and auto-filled first drafts; expert assignment with reminders; scheduled review triggers that prompt experts to update answers. Integrations include Salesforce, Dynamics 365, HubSpot, Seismic, Highspot, Slack, Teams and SharePoint.
  • Pricing: Foundations, Enhanced and Enterprise, all quoted on request; the FAQ says Foundations includes 10 seats, and Enhanced adds multi-step reviews and a multi-language library (pricing, modified 17 June 2026, checked 20 October 2026).
  • Limitation: the pricing page lists Industry Integrations, including Salesforce and Highspot, as an add-on option rather than in a base plan.
  • Choose it if: a dedicated proposal team needs a governed library with scheduled expert reviews.

QorusDocs

QorusDocs describes itself as AI-powered proposal management software for professional services teams, producing proposals, pitches, presentations and RFP responses from Microsoft 365 (QorusDocs).

  • Standout capabilities: output in Word and PowerPoint; brand-approved content; role-based permissions, approval workflows and version control; engagement tracking. The homepage says it is built on Azure OpenAI and does not use customer data to train public models.
  • Pricing: ValueHub, ProposalHub and PitchHub, with no list prices (the FAQ points to a demo and pricing by team need) and no self-serve trial; all include QPilot AI, Microsoft 365, a governed content library and Salesforce and Dynamics integration (pricing, checked 20 October 2026).
  • Limitation: the homepage does not mention DDQs or security questionnaires.
  • Choose it if: you are a professional services, AEC or law firm whose responses are Word and PowerPoint documents.

Responsive (formerly RFPIO)

Responsive calls itself strategic response management and AI RFP software for RFPs, RFIs, RFQs, DDQs, security questionnaires and proposals (Responsive). Its About page dates the rebrand from RFPIO to 2023, to reach beyond the RFx use case; the announcement was dated 18 July 2023 (press release via CXOToday).

  • Standout capabilities: a Q&A content library, with AI that drafts from your content guided by experts; AI agents across the pursuit; a TRACE Score (announced 9 April 2025) that rates AI answers from 0 to 100 on trustworthiness, relevance, accuracy, completeness and explainability; Requirements Analysis, LookUp and Trust Center products. Its integrations page counts 32 integrations, including Highspot, Seismic and Microsoft Office apps.
  • Pricing: Emerging Edition starting from $10,000; Growth and Enterprise through sales. Pricing combines an annual platform fee, user licences, and add-ons and services, with unlimited projects (pricing, checked 20 October 2026).
  • Limitation: user licences are a separate pricing component, LookUp, eSignature and intake requests start at Growth, and Trust Center is not in any edition’s feature list.
  • Choose it if: sales, security and proposal teams all answer questionnaires and want intake and review in one system.

RocketDocs

RocketDocs calls itself a response management platform for financial services, healthcare and enterprise tech teams (RocketDocs).

  • Standout capabilities: formats from RFPs and DDQs to SIG, CAIQ and HIPAA-aligned questionnaires; Astro, a private AI engine that RocketDocs says sends no data to third-party model providers and flags every AI answer for human review; a Word and Excel add-in; approval gates and an audit trail.
  • Pricing: plans “starting at $18,500/year”, by custom quote. Starter typically has 5 to 10 core users, Pro 10 to 30 and Enterprise 30 or more, with unlimited experts not counted as users (pricing, checked 20 October 2026).
  • Limitation: RapidDocs proposal generation and the RocketVault browser extension for web-based questionnaires are not in Starter; the pricing page lists them under Pro and as add-ons.
  • Choose it if: you answer DDQs and security assessments in a regulated industry and need private AI and an audit trail.

Upland Qvidian

Upland Software sells Qvidian as proposal management and RFP software covering proactive proposals and presentations through complex RFPs and statements of work (Qvidian product page, checked 20 October 2026).

  • Standout capabilities: RFX responses, sales proposals, security and due diligence questionnaires and statements of work; content expiration dates and usage dashboards (Qvidian help); AI Assist for AutoFill answers and rewriting, with admin tone and terms rules; automatic questionnaire parsing that identifies headings, questions and answers; review workflows and version control; Salesforce and Microsoft Office integrations; more than 70 standard reports.
  • Pricing: no prices on the product page, which offers a demo request (checked 20 October 2026).
  • Limitation: without published pricing, budgeting needs a sales quote from the start.
  • Choose it if: one tool should cover sales proposals and RFP responses for an enterprise on Microsoft Office and Salesforce.

AI-native RFP and bid writing tools

Newer tools built around AI drafting. Test them on your own past RFPs and check how each shows where an answer came from.

Arphie

Arphie describes itself as AI-native software to respond to RFPs, RFQs, questionnaires and DDQs (Arphie).

  • Standout capabilities: live connections to Google Drive, SharePoint, Confluence, Notion, Box, Seismic, Highspot and Vanta (integrations); answer sources, confidence scores and reasoning shown to reviewers; Smart Merge for duplicate library entries; approvals and an Arphie MCP connector. The homepage says Arphie is SOC 2 Type 2 compliant and does not train models on customer data.
  • Pricing: no prices or pricing link on the homepage, which asks buyers to reach out (checked 20 October 2026).
  • Limitation: its integrations page names Salesforce as the only CRM.
  • Choose it if: your best answers live in Drive, SharePoint or your enablement platform and the tool should draw on them directly.

AutogenAI

AutogenAI is an AI tool for writing bids, proposals, tenders and grants, with Federal, Enterprise and Grant Writer offerings (AutogenAI, modified 4 June 2026).

  • Standout capabilities: a custom language engine for each customer, tuned to its tone of voice; Qualify and Extract, Manage, Research, Write and Review modules covering a bid from qualification to review; compliance checks.
  • Pricing: no prices on the homepage, which offers a demo or a call with its team (checked 20 October 2026).
  • Limitation: the homepage does not mention security questionnaires or DDQs; it focuses on written bids, proposals, tenders and grants.
  • Choose it if: you write long narrative bids, public-sector tenders or grant applications.

Inventive AI

Inventive AI positions itself as an AI-native alternative to Loopio, Responsive and Qvidian, for RFPs, RFIs, security questionnaires, DDQs and proposals (Inventive AI).

  • Standout capabilities: a knowledge hub synced from SharePoint, Google Drive, Notion and Confluence or built from past RFPs; an AI Content Manager that flags conflicting or outdated answers; citations and confidence ratings; agents for go/no-go, win themes, requirements and compliance checks; Salesforce and Slack integrations; MCP access from Claude and ChatGPT.
  • Pricing: “Plans start at $10K/year”; a fixed platform fee plus a charge per RFP or security questionnaire, unlimited users on every plan, and unused RFPs roll over (pricing, checked 20 October 2026).
  • Limitation: the pricing page states neither the platform fee nor the per-RFP rate, so cost depends on the volume you commit to.
  • Choose it if: many occasional contributors need access and you prefer paying by volume rather than by seat.

Security questionnaire and trust center software

If most of your volume is security reviews rather than RFPs, a tool built around a trust center can deflect questionnaires before they arrive.

Conveyor

Conveyor sells AI for customer trust work: security questionnaires, security reviews, vendor assessments and RFPs (Conveyor).

  • Standout capabilities: questionnaire automation that cites its sources; a self-service Trust Center for buyers’ security teams; knowledge management that monitors and cleans source content; RFP drafting from the brief and deal documents; a browser extension.
  • Pricing: a free plan built on Trust Center credits (10 a month); Enterprise is custom, “pay for what you use” with volume discounts and no per-user fees (pricing, checked 20 October 2026).
  • Limitation: the free plan’s summary lists no access to questionnaire automation or integrations, but the comparison table shows “Up to 15” for both; confirm with Conveyor.
  • Choose it if: security reviews slow your deals and you want a trust center and questionnaire automation in one place.

How to keep an RFP answer library current

AI drafting makes a stale library more dangerous: it fills answers faster from whatever the library holds. Before go-live, set these rules:

  • One owner per answer category (security, legal, product, pricing), with a backup.
  • Review dates on every answer , and expiry dates on pricing, certification and roadmap answers.
  • Merge duplicates before migrating ; tools can flag them, but people decide.
  • Link answers to their source document , so a changed security overview triggers a review.
  • Track answers used in won and lost bids , so reviewers focus where it matters.

Revspire’s sales content governance benchmark (aggregated, anonymized customer data, 12 months to October 2026, updated 17 October 2026) found 18% of active sales assets were past their review or expiry date; it covers sales content, not RFP answers, and is not a random sample. It suggests a first review within 90 days of publication, then at least quarterly; our glossary entry on sales content governance explains how ownership and approvals work.

An answer library is only as current as the sales content behind it; Loopio, Responsive and Arphie all list Seismic and Highspot integrations. Revspire does not answer RFPs; its Content Hub keeps one governed, current version of each sales asset, with versioning that keeps every shared link current, which is the approved source your answer reviewers should check against. To see how governed sales content works with your own assets, request a Revspire demo.

Frequently asked questions

What is the best RFP software?

It depends on what you answer most. Proposal desks with weekly RFPs should compare Loopio and Responsive; regulated DDQ teams, RocketDocs; Microsoft 365 document teams, QorusDocs or Upland Qvidian. For AI-first drafting, test Arphie and Inventive AI on a past RFP; for long-form bids, AutogenAI; for security reviews, Conveyor.

What is AI RFP software?

AI RFP software drafts answers to RFP and questionnaire questions from your approved content instead of only matching saved Q&A pairs. Look for cited sources, confidence scores and a human review step: Arphie and Inventive AI show sources and confidence scores, Conveyor cites its sources, and RocketDocs flags every AI answer for human review.

How much does RFP software cost?

Few vendors publish full prices. On pages checked on 20 October 2026, Responsive’s Emerging Edition starts from $10,000, Inventive AI plans start at $10K a year, and RocketDocs starts at $18,500 a year; Loopio, QorusDocs, Upland Qvidian, Arphie and AutogenAI list no prices, and Conveyor has a free Trust Center plan. Ask whether users, experts, integrations and AI are priced separately.

What is the difference between RFP software and proposal software?

RFP software answers questions the buyer wrote, from a reviewed answer library, with expert routing. Proposal software helps sellers build their own documents with templates, pricing tables and e-signature.

Can RFP software answer security questionnaires?

Yes. Loopio, Responsive, RocketDocs, Upland Qvidian, Inventive AI and Conveyor all list security questionnaires, and RocketDocs names formats such as SIG and CAIQ. If security reviews outnumber RFPs, a trust center (Conveyor, or Responsive’s Trust Center) lets buyers find answers before sending a questionnaire.

Is this the same as an RFP for buying sales enablement software?

No. This page covers software for answering RFPs your buyers send. If you are writing an RFP to choose a sales enablement platform, use our sales enablement RFP template and scorecard instead.
