PandaDoc or Proposify: which should you choose?

PandaDoc vs Proposify compares two proposal and e-signature tools that publish prices. PandaDoc has a free plan and Business at $49 per seat per month billed annually, with CPQ on Enterprise. Proposify lists no free plan; Build is $35 per user per month billed annually.

Choose PandaDoc if…

  • You want to start free: PandaDoc's Free plan costs $0, needs no credit card and allows 5 documents a month, while Proposify lists no free plan.
  • You need full CPQ: PandaDoc lists "CPQ (configure, price, quote)" on Enterprise and sells CPQ built inside Salesforce as a paid add-on for Enterprise customers; Proposify describes interactive quoting and a product catalog instead.
  • You want deal rooms and AI document tools beside the proposal: PandaDoc Business includes up to 3 deal rooms, AI document digest and AI data extraction.
  • You send many documents from few seats: PandaDoc Enterprise offers a document-based package "with unlimited seats", where you "pay only for the documents you create".

Choose Proposify if…

  • You want quoting on the entry plan: Proposify Build, at $35 per user per month billed annually, lists a product catalog, a content library and "AI + MCP server"; PandaDoc lists custom quotes and its content library from Business, at $49.
  • You want a published price for the top tier: Proposify Scale is a $12,800 yearly platform fee for 10 users with SSO, multiple workspaces and a dedicated success manager; PandaDoc quotes Enterprise.
  • You run Aspire or a less common CRM: Proposify's integrations page lists 48 integrations, 21 of them CRMs, and its Aspire integration shows $9 per user per month.
  • Your security review wants the SOC 2 type and data location stated: Proposify says it is "SOC2 Type 2 certified" and that "All customer data is stored in Northern Virginia, USA."

What is the difference between PandaDoc and Proposify?

Both create, send, track and e-sign sales documents, but PandaDoc reaches further into agreement workflows. PandaDoc calls itself "a 360-degree document management solution" (PandaDoc) and names proposals, quotes, contracts, eSignature, document generation, CPQ, Deal Rooms, smart content, forms, payments, workflow automation, Notary and an API among its products. Proposify's headline is "Professional, branded proposals from conversation to close" (Proposify), and its platform menu lists Proposal Automation, Quoting, Contract Management, E-Signatures & Forms, Integrations and an API.

Both show how buyers engage with a document. Proposify says you "Get notifications when they open the proposal and detailed analytics on the time spent on each section", and PandaDoc lists tracking and analytics among its products. PandaDoc also sells deal rooms, up to 3 on Business and unlimited on Enterprise (pricing); the Proposify pages we checked name none.

They differ in size. PandaDoc said on 27 August 2024 that it had passed $100 million in annual recurring revenue with "more than 700 employees globally" (release), and its about page says it reached a $1 billion valuation with Series C funding in 2021. Proposify's about page shows 60 employees and "8k+ customers", and lists a $250,000 seed in 2014, a $3M round in 2018 and a 2020 round with CBGF.

How do PandaDoc and Proposify compare on quoting, CPQ and e-signature?

PandaDoc splits quoting from CPQ. Business lists "Custom quotes and sales agreements" and approval workflows, while "CPQ (configure, price, quote)" sits on Enterprise, marked "optional" and as needing usage credits or a paid add-on (pricing). On 19 February 2025 PandaDoc released CPQ built inside Salesforce as a "paid add-on for PandaDoc Enterprise and App Volume customers" and referred to an existing "embedded CPQ solution for HubSpot" (release).

Proposify's pages do not use the term CPQ. Its pricing page describes interactive quoting that lets prospects "alter the quantity or optional add-ons", lists a product catalog on Build, and puts approval workflows on Grow: "Create conditions that if met will trigger an approval from a manager (by deal size and discount size)."

Both include e-signature on every plan. PandaDoc's Free plan is aimed at teams that "need professional eSign", and its homepage says "PandaDoc is E-SIGN, UETA, HIPAA compliant, and SOC 2 certified". Proposify says "All plans allow you to get documents legally e-signed" and that its e-signatures follow UETA, ESIGN and eIDAS (security). Limits differ: PandaDoc counts documents created through the API, Zapier, Make, Forms or bulk send against usage credits, with overage of up to $5 per document where the order form sets no unit price; Proposify says "Every plan includes a monthly send limit" of 10, 30 or 75 sends, though the same page lists unlimited documents on all plans.

How do PandaDoc and Proposify compare on AI and integrations?

PandaDoc ties AI features to plans. AI Assistant and AI search start on Starter, AI document digest and AI data extraction on Business, and AI renewal alerts are optional on Business. Its Claude and ChatGPT connectors via MCP are "currently in beta" and free on all plans "For a limited time", and "PandaDoc reserves the right to introduce usage limits at any time" (pricing). Its AI information page names an "AI Document Assistant" and a "native Model Context Protocol (MCP) server".

Proposify lists "AI + MCP server" on Build and describes an "embedded AI widget to prompt, write, refine, fix spelling and grammar, condense, and more". Its AI Proposal Generator works "directly inside Proposify's editor". Its pages do not say which plans include AI or whether use is limited.

On integrations, PandaDoc's homepage names Salesforce, HubSpot CRM, Pipedrive, monday.com and Zapier, plus Stripe, Square and PayPal for payments; its pricing page starts CRM integrations on Business and lists Salesforce as "optional, requires paid add-on". Proposify's integrations page lists 48 integrations, 21 of them CRMs, including Salesforce, HubSpot, Pipedrive, Microsoft Dynamics and Aspire, and its pricing table shows the Salesforce and Aspire integrations at $9 per user per month. SSO sits on PandaDoc Enterprise and on Proposify Scale, where Proposify names Okta and Azure.

How does PandaDoc pricing compare to Proposify pricing?

PandaDoc prices per seat and publishes annual rates: Free at $0, Starter at "$19 per month, billed annually" and Business at "$49 per seat per month, billed annually". Enterprise is "Per-seat or per-document pricing", with a document-based package "with unlimited seats". On monthly billing the cards show Starter at $35 and Business at $65 per seat per month; the toggle says annual billing can "Save up to 46%". See the PandaDoc pricing guide for more.

Proposify prices per user and publishes every tier. Build is $49 per user per month on monthly billing or $35 on annual billing ($420 per user per year); Grow is $65 per user per month, "Billed annually"; Scale is a "Platform fee of $12,800/year includes 10 users", with extra users at $780 per user per year on Grow and Scale. It lists no free plan but offers a "14 day trial, no card needed"; PandaDoc's trial also runs 14 days. See the Proposify pricing guide for more.

At list price for ten users on annual billing, PandaDoc Starter comes to $2,280 a year and Business to $5,880; Proposify Build comes to $4,200, Grow to $7,800 and Scale to $12,800. The tiers are not equivalent: PandaDoc's CPQ, SSO and workflow automation sit on its quoted Enterprise plan, while Proposify's SSO and dedicated success manager sit on Scale. Both bills can rise with add-ons, PandaDoc's usage credits and Proposify's send overages.

The only dated contract data with a sample size we found is for PandaDoc. Vendr reports a median PandaDoc contract of $14,868 a year, ranging from $3,662 to $37,580 (91 purchases, February 2026), and says quoted Enterprise rates "typically start around $59+ per user per month for annual contracts". These are Vendr estimates, not PandaDoc prices. We found no comparable benchmark for Proposify.
